As Panda Drum scales from $25M toward $60M, the founder is looking for a trusted Executive Assistant to work directly alongside him.
This is a high-exposure role with no layers between you and the decision-maker. You will take ownership of calendar management, travel coordination, communication flow, and internal follow-through to keep operations running efficiently.

This is a full‑time, remote contractor role supporting a team on the CET timezone.

WHAT YOU’RE GETTING INTO
You will serve as the founder’s primary operational support in a business operating across Europe, the US, the Middle East, and China.
This includes:
- Owning a complex multi-time-zone calendar and ensuring zero scheduling conflicts.
- Managing international travel end-to-end (flights, hotels, visas, ground transport, and expenses).
- Monitoring Slack and email, triaging communication so only founder-level decisions require founder attention.
- Tracking key deliverables across the remote team and ensuring follow-ups happen on time.
- Building and maintaining clear systems in Notion or Airtable to reduce operational friction.
- Coordinating onboarding logistics for new hires.
- Handling occasional essential personal coordination related to travel or administration.
The founder works across CET, US, and Asia time zones. Occasional out-of-hours responsiveness is expected when matters are time-sensitive.
WHO YOU ARE
- 2+ years supporting a founder, CEO, or senior executive in a high-growth environment
- Experienced managing complex calendars across multiple time zones
- Comfortable operating in Slack, Notion, Airtable, and project management systems from day one
- Able to work independently, prioritize effectively, and follow through without supervision
- Clear and direct in communication, with strong judgment on when escalation is required
- Calm and structured in a fast-moving environment
Bonus points if you have:
- Experience in a high-growth DTC or eCommerce brand
- Fluency in Polish
WHAT SUCCESS LOOKS LIKE
30 Days:
- You have taken full ownership of the calendar with zero scheduling conflicts
- You have managed all travel end-to-end without founder involvement
- You have mapped recurring workflows and identified the top three time drains
- You have implemented communication triage so only founder-level decisions reach the founder
60 Days:
- You have implemented at least two process improvements that reduce operational friction
- You have taken full ownership of onboarding logistics for new hires
- The team consistently routes operational matters through you before escalating to the founder
90 Days:
- You have reduced the founder’s operational workload by 50%+ compared to day one
- You have established a structured accountability system with tracked deliverables and automated follow-ups
- You are independently running the weekly operations cadence
