Job Title: Assistant to Guides Administrator

Location: Cape Town, South Africa

Type: Office-Based, Full-Time

Working Hours: Monday to Friday, 08h00 – 17h00

Start Date: Immediate


About the Role

We are seeking a detail-oriented and proactive Assistant to the Guides Administrator to support the smooth running of all administrative and financial tasks related to tour guides. This is a junior to entry-level position, ideal for someone eager to gain experience in the travel and tourism industry while working within a collaborative and professional team environment.


Key Responsibilities

  • Assist with all administrative processes related to tour guides.
  • Check and verify expense lists before tours to ensure accurate fund advances to guides.
  • Reconcile expenses after each tour, verifying receipts and documentation.
  • Prepare guide fee payments, including VAT calculations and payment advices.
  • Maintain and update the guides’ database to ensure all information is accurate and up to date.
  • Communicate with guides regarding expense queries, slips, and payments.
  • Send out IRP forms and payslips to guides.
  • Liaise with the operations, consultants, and accounts departments to ensure smooth coordination.


Requirements

  • Strong administrative and numeracy skills.
  • Basic understanding of accounts and reconciliation processes.
  • Excellent attention to detail and organizational ability.
  • Good communication and interpersonal skills.
  • Proficiency in Microsoft Office (especially Excel and Outlook).
  • Previous experience in the travel or tourism industry is an advantage but not essential.
  • Must be based in Cape Town and available to work in-office.
