Job Title: Travel Consultant – Groups & FIT

About the Role:
Our client, a leading name in the luxury travel industry, is seeking an experienced and detail-oriented Travel Consultant to join their dynamic team in Windhoek. The successful candidate will be responsible for designing and managing tailor-made itineraries, tour series, and group travel, while ensuring profitability, exceptional service delivery, and strong supplier and agent relationships.

Key Responsibilities:
Sales & Business Development
• Secure new business and effectively cost travel products.
• Understand market dynamics, pricing, and margin control.
• Build and maintain strong relationships with agents and suppliers.
• Source and develop new products to enhance offerings.
• Implement sales strategies to increase business from both existing and new agents.
• Collaborate with the team to achieve sales and operational goals.
Operations & Itinerary Management
• Quote and design creative, high-quality itineraries and proposals for ADHOC groups, tour series, and FIT requests.
• Capture and confirm bookings using Tourplan (or similar travel software).
• Negotiate competitive rates, favourable cancellation terms, and FOC agreements with suppliers.
• Identify and onboard new suppliers offering exceptional service and value.
• Follow up on sent quotations and convert potential business.
• Manage the full operational process of groups, tour series, and FIT bookings.
• Compile welcome packs, co-pilot documents, and guide briefings prior to travel.
• Maintain strong communication with tour guides during tours.
• Handle the 24-hour emergency phone on a rotational basis.
Financial Administration
• Instruct debtors to raise client invoices.
• Reconcile supplier invoices and ensure accurate processing.
• Support the debtors’ clerk with invoicing and collection queries.
• Reconcile tour guide expense sheets and verify guide salary invoices upon tour completion.
Additional Responsibilities
• Attend supplier training sessions and workshops.
• Actively reduce transaction turnaround time through efficiency and organization.
• Maintain excellent communication and client service standards.
• Stay up to date on supplier changes, market trends, and new travel products.
• Participate in educational trips and familiarization tours when required.
General

Requirements:
• Minimum of 3–5 years’ experience as a Travel Consultant within the luxury travel industry.
• Experience handling both groups and FIT bookings.
• Proficiency in Tourplan (or a similar travel booking system).
• Strong supplier and destination knowledge (Southern Africa preferred).
• Excellent communication, organizational, and negotiation skills.
• Strong financial and administrative acumen.
• Ability to work independently and as part of a collaborative team.
• Passion for travel, attention to detail, and a client-focused mindset.
