Job Title: Travel Sales Administrator

Location: Cape Town, South Africa (Hybrid) 

 

About the Role

An exciting opportunity exists for a skilled and detail-oriented Sales Administrator to join a dynamic travel company specialising in luxury African travel experiences. The successful candidate will provide comprehensive administrative support to one or two Sales Consultants throughout the client journey—from initial enquiry to travel confirmation and post-sale servicing. This role plays a key part in ensuring operational excellence, client satisfaction, and the seamless coordination of all travel-related services.

 

KEY RESPONSIBILITIES: 


Bookings Management

  • Check availability with suppliers within two hours during office hours
  • Make and manage provisional bookings, including flight holds
  • Confirm all services and issue flight tickets
  • Communicate dietary and special requests to suppliers
  • Investigate and resolve any rate discrepancies

Client Journey Support

  • Assist the Client Experience team with administrative tasks post-sale
  • Manage collection and verification of client details
  • Assist with bookings for restaurants, activities, and tour add-ons
  • Complete manual credit card payment forms and liaise with accounts
  • Draft visa letters as required
  • Set calendar reminders for key client communication points

Quality Assurance

  • Review and make minor edits to tailor-made itineraries before confirmation
  • Cross-check invoices for errors and discrepancies during audits

Payment Facilitation

  • Monitor and track final payment timelines and reminders

Communication & Enquiry Management

  • Manage incoming toll-free and switchboard calls
  • Handle inbox management on behalf of aligned Sales Consultants

 

REQUIREMENTS: 

  • Relevant tertiary qualification (advantageous)
  • 2–5 years of experience in travel sales coordination or administration (essential)

Skills and Competencies

  • Exceptional written and verbal communication skills
  • Strong administrative and organisational abilities
  • Able to work effectively under pressure and adapt to change
  • High attention to detail and accuracy
  • Comfortable using MS Office Suite, CRM systems, and Google Workspace
  • Numerically literate with sound problem-solving skills
